PREPORTI PRIVACY POLICY

1. Introduction

Preporti Oy (“Preporti”) is a company offering solutions to improve communication among individuals, organizations, and different service providers. When you use Preporti solutions and services, you trust us with your personal data. We’re committed to keeping that trust, and that starts with helping you understand our privacy practices. In this Privacy Policy, we describe the personal data (“Data”) we collect and use to offer our services to you.

 

Our guiding principles about collecting and using Data are:

  • We collect only what we need to offer our services.

  • We are transparent about what we collect and use.

  • We safeguard Data to avoid loss and unauthorized access.

  • We give options to our customers to have different levels of privacy

2. Scope

Preporti offers a mobile app coupled with related web portals acting as a communication channel (“ePorti”) for an individual (“User”) to give feedback, improvement suggestions or to report a problem that needs fixing to related service provider (“Service Provider”). Some of the Service Providers can accept communication anonymously, some others may accept input only from identified Users.

 

By using ePorti, the User may send structured reports to Service Providers, including taken pictures, location and description of the related issue/feedback.

 

Service Providers in ePorti are organizations that are using the ePorti solution based on an agreement with Preporti (“Service Provider Customer”) as well as some relevant organizations which do not have an agreement with Preporti but can be contacted via a publicly available email address on their web pages (“Public Service Provider”).

 

Users who are also employees or affiliates of a are also bound by the privacy policy and term of usage policies of the Service Provider Customer. By using the ePorti solution, such Users may also create content related to handling reports in relevant web portals.

 

For data generated during the process of handling the User report, Preporti acts as Data Processor and Service Provider Customer acts as Data Controller.

 

Reports sent to Service Provider Customers are stored in a Preporti database and made available to the relevant people, teams or other affiliates of Service Provider Customers involved in handling the content of the reports.

 

Reports sent to Public Service Providers are stored in a Preporti database and only sent as an email to the defined email address of the Public Service Provider. Public Service Providers do not have access to the ePorti solution.

3. Data Collection and Use

To provide a smoothly functioning solution and follow-up possibilities to the users of ePorti, Preporti collects data provided by its users during registration and created during the usage of the ePorti mobile application or related ePorti pages.

 

We collect Data when Users create or update their accounts in the ePorti solution. This includes first and last name, nickname, email address and optionally telephone number and profile picture.

 

If the User opens a communication channel towards a Service Provider where other identification (e.g. address) is required, Data related to that identification is collected.

 

When the User sends feedback/report to a Service Provider, we collect User-defined relevant location and potentially pictures taken, files uploaded by the User or by the Service Provider as well as description and other relevant User-generated data.

 

We collect data about how users interact with our services to generate statistics and improve ePorti as well as to build additional features and functionalities.

 

We use collected data for providing the functionality of ePorti solution and fulfill service obligations for Users and Service Provider Customers, manage our User and Service Provider Customer relationships, provide customer support to Users and Service Providers and comply with laws or regulations that apply to us and our customers.

 

We do not share Data with third parties which are not relevant for the provision of the functionality offered by ePorti, with the exception when it is required by law.

4. Protecting Personal Data

ePorti solution is designed from the beginning to comply with high IT-security standards. We store all our information, including Personal information, using industry-standard techniques. We use appropriate data collection, storage and processing practices as well as security measures to protect against unauthorized access, alteration, disclosure, or destruction of your Data.

5. Sharing Data with 3rd Parties

Preporti transfers needed Data to facilitate communication among Users and Service Providers. Preporti does not sell or share Data with 3rd parties for marketing or other purposes.

6. Choice and Transparency

ePorti offers different privacy setting possibilities to Users and Service Providers. For reports made to Service Provider Customers, ePorti offers notifications about the progress status and new communications received. Users may disable these push notifications.

 

For Data in ePorti, Preporti acts as Data Controller. Service Provider Customers are also Data Controller for the Data transferred to them by the Users, or other Service Providers or for the data created by themselves. For the data transferred among Service Provider Customers, Users and other Service Providers, Preporti acts as Data Processor.

7.Data Removal

Preporti keeps Data as long as it is necessary for the smooth functionality of the solution. Retention of Data also depends on related laws and regulations of the European Union.

 

Users have the right to ask for the removal of their Data in ePorti by sending a request to Preporti. After such a request, as a Data Controller, Preporti destroys related part of Data. If there are Customer Services Providers acting also as Data Controller related to User requesting Data removal, Preporti informs User contact information of such Service Provider Customers. The user needs to contact the Service Providers for the removal of any data related to the communication between the User and the Service Provider.

8. Changes to this Privacy Policy

We’re consistently working to improve our solution, so we may need to change this Privacy Policy from time to time as well. Preporti has the discretion to update this Privacy Policy at any time. When we do, we will revise the effective date at the top of this page. We encourage Users to frequently check this page for any changes to stay informed about how we are helping to protect the Data we collect. You acknowledge and agree that it is your responsibility to review this Privacy Policy periodically and become aware of modifications

9. Your Acceptance of this Privacy Policy

By using the ePorti solution, you signify your acceptance of this Privacy Policy. If you do not agree to this Privacy Policy, please do not use ePorti apps, web portals or sites. Your continued use of the solution following the posting of changes to this Privacy Policy will be deemed as your acceptance of those changes.
